Welcome to ARCM. These Terms and Conditions govern your access to and use of our medical billing services, AI-powered software solutions, and related offerings. By accessing our website, engaging our services, or using our platform, you agree to comply with and be bound by these Terms.

If you do not agree with any part of these Terms, you must not use our services.

Definitions

“ARCM,” “we,” “us,” or “our” refers to Agentic Revenue Cycle Management and its affiliated entities.  “Client,” “you,” or “your” refers to any healthcare provider, organization, or individual using our services.  “Services” include medical billing, coding, credentialing, consulting, AI-powered automation, and related revenue cycle management solutions.  “Platform” refers to any software, tools, or systems provided by ARCM.

Scope of Services

ARCM provides healthcare billing and AI-driven revenue cycle management solutions designed to improve claim accuracy, reduce denials, and optimize financial performance.

While we strive for maximum efficiency and accuracy, ARCM does not guarantee specific financial outcomes, reimbursement amounts, or timelines, as these depend on third-party payers, regulatory changes, and external factors beyond our control.

Client Responsibilities

Clients agree to:

  • Provide accurate, complete, and timely information, including patient data and clinical documentation
  • Maintain compliance with all applicable healthcare laws and regulations
  • Ensure proper authorization for data sharing with ARCM
  • Respond promptly to requests for clarification or additional information

Failure to meet these responsibilities may impact service performance and outcomes.

Data Privacy and HIPAA Compliance

ARCM is committed to protecting sensitive healthcare information. We implement administrative, technical, and physical safeguards to ensure compliance with applicable privacy laws, including HIPAA.

Clients acknowledge that:

  • Data shared with ARCM will be processed for service delivery purposes
  • Secure systems are used to handle Protected Health Information (PHI)
  • Both parties share responsibility for maintaining data security

A separate Business Associate Agreement (BAA) may be executed where required.

Use of AI and Automation

ARCM utilizes AI-powered systems to enhance billing accuracy, automate workflows, and optimize revenue cycle performance.

By using our services, you acknowledge that:

  • AI systems assist in decision-making but do not replace clinical judgment
  • Outputs are based on available data and may require human review
  • Continuous improvements are made to enhance system accuracy and performance

Fees and Payment Terms

Service fees will be outlined in a separate agreement or service contract.

Clients agree to:

  • Pay all applicable fees on time as specified
  • Provide accurate billing and payment information
  • Cover any additional costs related to third-party services if applicable

Late payments may result in service suspension or termination.

Intellectual Property

All content, software, processes, and systems provided by ARCM remain the exclusive property of ARCM.

Clients are granted a limited, non-transferable license to use the platform and services solely for their internal business purposes. Unauthorized use, reproduction, or distribution is strictly prohibited.

Limitation of Liability

To the fullest extent permitted by law, ARCM shall not be liable for:

  • Indirect, incidental, or consequential damages
  • Loss of revenue due to payer decisions or delays
  • Errors resulting from incomplete or inaccurate client-provided data

Our total liability shall not exceed the amount paid for services within the applicable billing period.

Third-Party Services

ARCM may integrate with third-party systems such as EMRs, clearinghouses, or payment processors.

We are not responsible for:

  • Performance or availability of third-party systems
  • Data inaccuracies originating from external platforms
  • Delays caused by third-party providers

Service Availability

We strive to maintain continuous access to our platform and services. However, we do not guarantee uninterrupted or error-free operation.

Maintenance, updates, or unforeseen technical issues may result in temporary service interruptions.

Termination

Either party may terminate services in accordance with the terms outlined in the service agreement.

ARCM reserves the right to suspend or terminate services if:

  • Terms are violated
  • Payments are not made
  • Misuse of the platform is detected

Upon termination, all outstanding balances become due immediately.

Indemnification

You agree to indemnify and hold ARCM harmless from any claims, damages, or liabilities arising from:

  • Your misuse of services
  • Non-compliance with healthcare regulations
  • Inaccurate or incomplete information provided

Governing Law

These Terms shall be governed and interpreted in accordance with the laws of the United States, without regard to conflict of law principles.

Changes to Terms

ARCM reserves the right to update or modify these Terms at any time. Updated versions will be posted on our website with a revised effective date.

Continued use of services after changes constitutes acceptance of the updated Terms.
